Planning a Celebration or Recognition in Phoenix

Memorial Day is right around the corner and some people may want to have a large recognition for those who have died in service. Perhaps you would plan this as a community or neighborhood event, or perhaps your company would like to hold an honorary meal to give recognition to those who deserve it. Holding a celebration like this requires planning and effort.

Make a list of the things that you need. Without a list, you can start with a plan for a relatively small or simple gathering, and soon find that you’ve gone over the top, or you can find that you’ve forgotten very important items. Your list might look something like this:

  • Tent
  • Tables
  • Plates
  • Silverware
  • Glassware
  • Servers
  • Custodial assistance
  • A stage/flooring
  • Music or other entertainment
  • Decide how you want to set the tables and otherwise stage the site:
  • Guests should be able to move easily and not be in other peoples’ way as much as possible
  • Plan a table for beverages
  • Plan a food line
  • Plan a desert table
  • Plan trashcans—depending on what you serve, think about flies, odor, the need to replace and empty cans periodically.

The thing to keep in mind, this is far from a complete list of things to remember. The things that must be done prior to hosting a fete for any kind of celebration or recognition is long, and it can be incredibly easy to accidentally leave things that in retrospect seem obvious and simple.

Send invitations to people you specifically would like to honor and special clients whom you want to ensure they know you’re thinking of them.

Plan the menu. Often you can expect 80% of the people you sent invitations to respond, and if your celebration is open to everyone, it is not uncommon for 20% more than those invited to attend. The more you publicize the event, the more people will come.
